1.4 Photographs and Service Documentation

  • ValHalla Computers may take or receive photographs of a customer’s computer, components, accessories, workspace, visible damage, contamination, cable arrangement, or completed work when reasonably necessary to document equipment condition, communicate with the customer, perform the approved service, or maintain service records.

  • Customer or computer photographs collected for service documentation will not be used in advertising, social media, portfolios, or other promotional materials unless the customer provides separate and explicit permission for that use.

  • Permission to use a photograph for marketing is optional and is not required to request or receive service. When practical, ValHalla Computers will avoid displaying personal information, account details, serial numbers, home interiors, people, or other identifying content in approved marketing photographs.

1.5 Payment and Transaction Information

  • When customers approve quotes, purchase parts, pay deposits, or pay invoices, we may collect or receive transaction-related information such as the customer’s name, billing details, payment amount, payment status, payment method, transaction date, invoice number, refunds, and related accounting records.

  • Payment-card and bank-account information may be entered directly into and processed by an authorized third-party payment processor. ValHalla Computers does not intend to independently store complete payment-card numbers or online-banking credentials in its ordinary business records.

1.6 Communications

  • We may retain communications exchanged through email, telephone calls, text messages, website forms, Jobber, invoices, or other approved communication methods. These records may include questions, service descriptions, appointment information, approvals, complaints, attachments, photographs, and other information provided during the customer relationship.

1.7 Website and Analytics Information

  • When someone visits our website, Wix and its supporting technologies may automatically collect limited technical and usage information. This may include an Internet Protocol address, browser type, device type, operating system, approximate location, referring page, pages viewed, interaction data, date and time of access, and cookie or similar technology information.

  • We currently use Wix’s website tools and built-in analytics to understand general website activity, maintain website functionality, improve the visitor experience, and evaluate how visitors find and use our website.

1.8 Information from Third-Party Platforms

  • We may receive or synchronize information through service providers used to operate the business, including Wix, Jobber, Intuit QuickBooks, Google Workspace, Gmail, Google Drive, payment processors, financial institutions, and communications providers.

  • The information received depends on the service involved and may include customer contact information, form submissions, quotes, appointments, service records, invoices, payment status, communications, attachments, and accounting information.

1.9 Information We Ask Customers Not to Send

  • Customers should not send Social Security numbers, complete payment-card numbers, banking passwords, unrelated medical information, government identification documents, or passwords for personal financial, email, or social-media accounts through ordinary website forms, email, or text message unless ValHalla Computers specifically requests information that is reasonably necessary and provides an appropriate method for handling it.

2. How We Use Personal Information

  • ValHalla Computers uses personal information only for legitimate business purposes related to operating our website, responding to customers, providing services, maintaining business records, and complying with applicable obligations.

2.1 Responding to Inquiries

  • We may use customer and transaction information to create and manage quotes, deposits, invoices, receipts, refunds, payment records, sales-tax records, bookkeeping entries, and other financial or business documentation.

  • Payment information may also be used by authorized payment processors, financial institutions, Jobber, Intuit QuickBooks, or other providers involved in processing and recording customer transactions.

2.6 Purchasing Parts and Materials

  • When a customer approves the purchase of computer components or other materials, we may use relevant customer, system, compatibility, shipping, transaction, and service information to identify, purchase, receive, document, and install the approved items.

  • We will not purchase customer-specific parts or materials without the approval and payment required under the applicable quote or service agreement.

2.7 Maintaining Customer and Service Records

  • We may maintain records of inquiries, quotes, approvals, appointments, equipment condition, completed work, installed components, recommendations, invoices, payments, communications, and customer concerns.

  • These records may be used to provide consistent customer service, answer questions, review workmanship concerns, maintain accounting records, document approved work, and protect the legitimate interests of both the customer and ValHalla Computers.

2.8 Safety, Security, and Misuse Prevention

  • We may use information when reasonably necessary to protect customers, ValHalla Computers, service providers, equipment, accounts, payment systems, or other persons from fraud, unauthorized access, unsafe equipment, threatening conduct, illegal activity, security incidents, or other harmful misuse.

2.9 Website Operation and Improvement

  • We may use website and analytics information to operate and maintain valhallacomputers.com, understand general visitor activity, identify technical problems, evaluate which pages and services receive interest, improve website navigation, and enhance the customer experience.

  • We currently use Wix’s built-in website and analytics tools for these purposes.

2.10 Photographs and Marketing

  • Photographs collected or created for service documentation may be used to record equipment condition, visible damage, components, approved work, and completed results.

  • ValHalla Computers will not use customer photographs, computer photographs, service photographs, testimonials, names, or identifying information for advertising, social media, portfolio displays, or other promotional purposes unless the customer provides separate and explicit permission.

  • A customer may refuse marketing permission without affecting their ability to request or receive service. Permission for promotional use may be limited or withdrawn for future use by contacting ValHalla Computers, although withdrawal may not require us to retrieve materials that were lawfully distributed or published before the request was received.

2.11 Legal and Business Obligations

  • We may use and retain information when reasonably necessary to comply with applicable laws, tax and accounting requirements, valid legal requests, court orders, insurance requirements, recordkeeping obligations, or the establishment, exercise, or defense of legal claims.

2.12 Other Uses with Notice or Permission

  • If ValHalla Computers wishes to use personal information for a materially different purpose from those described in this Privacy Policy, we will provide additional notice and request permission when required.

3. How We Share and Disclose Personal Information

  • ValHalla Computers does not sell or rent customers’ personal information. We disclose personal information only as reasonably necessary to operate our business, provide requested services, process transactions, comply with legal obligations, protect people and property, or fulfill another purpose described in this Privacy Policy.

3.3 Website, Forms, and Customer Management

  • Information submitted through valhallacomputers.com may be processed through Wix and transferred or entered into other business platforms used to review inquiries, prepare quotes, schedule services, maintain customer records, and provide support.

  • This information may include names, contact information, service selections, computer details, messages, photographs, appointment information, approvals, and related service records.

3.4 Communications and File Storage

  • Personal information may be processed or stored through Google Workspace, Gmail, Google Drive, telephone and text-message providers, and other communication or file-management tools used by ValHalla Computers.

  • These services may process message contents, contact information, attachments, photographs, service documents, and other information exchanged during the customer relationship.

3.5 Parts Suppliers and Retailers

  • When a customer authorizes ValHalla Computers to purchase or obtain a part, we may disclose limited information to a retailer, distributor, manufacturer, delivery service, or warranty provider when reasonably necessary to complete the purchase, arrange delivery or pickup, document the transaction, or assist with an approved return or warranty claim.

  • We will not provide more customer information than reasonably necessary for the applicable transaction.

3.6 Information Disclosed at the Customer’s Direction

  • We may disclose information when the customer asks or authorizes us to do so. Examples may include communicating with an authorized family member, releasing equipment to a designated person, sending service records to another provider, assisting with a manufacturer warranty claim, or using approved photographs or testimonials for marketing.

  • ValHalla Computers may request written confirmation before disclosing information or releasing equipment to another person.

  • Customer photographs, service photographs, names, testimonials, and identifying information will not be used in ValHalla Computers advertising, social media, portfolios, or other promotional materials unless the customer provides explicit permission.

  • Phone numbers and consent information associated with text messaging will not be sold or provided to unrelated third parties for their own marketing. Communications providers may process that information when necessary to deliver messages requested or reasonably expected by the customer.

3.8 Legal Requirements and Government Requests

  • We may preserve or disclose information when we reasonably believe doing so is required by applicable law, a valid subpoena, court order, tax requirement, regulatory request, or another legally enforceable process.

  • When legally permitted and reasonably practical, ValHalla Computers may seek clarification, limit the information disclosed to what is required, or notify the affected customer before responding.

3.9 Safety, Fraud Prevention, and Protection of Rights

  • We may disclose information when reasonably necessary to investigate or prevent fraud, unauthorized transactions, theft, threats, dangerous equipment, security incidents, illegal activity, or harm to customers, ValHalla Computers, service providers, property, or other persons.

  • Information may also be used or disclosed to establish, exercise, document, or defend legal rights, insurance claims, payment disputes, workmanship concerns, or other legitimate business interests.

3.10 Business Reorganization or Transfer

  • If ValHalla Computers is involved in a merger, acquisition, sale of business assets, financing transaction, restructuring, or transfer of business operations, relevant customer and business records may be reviewed or transferred as part of that transaction.

4. Third-Party Business Platforms and Payment Providers

  • These providers may collect, receive, store, or otherwise process personal information on behalf of ValHalla Computers or as independent providers of their own services. 4.1 Wix

  • ValHalla Computers uses Wix to host and operate valhallacomputers.com and may use Wix tools for website forms, customer inquiries, website analytics, cookies, contact records, automated notifications, and other website-related functions.

  • Information submitted through the website may therefore be received, transmitted, or stored through Wix systems. This may include contact information, service selections, computer details, messages, uploaded photographs, form consent records, technical information, and website-usage data.

4.2 Jobber

  • ValHalla Computers uses Jobber for customer and service management. Depending on the features enabled, Jobber may be used to maintain customer contact information, service requests, quotes, approvals, appointments, job notes, invoices, payment status, communications, photographs, and service history.

  • Customers may receive emails, text messages, appointment information, quote requests, invoice notices, or other service-related communications through Jobber.

  • If Jobber payment-processing or messaging features are enabled, additional information may be processed by Jobber and its applicable payment, communications, or integration providers.

4.3 Intuit QuickBooks

  • ValHalla Computers uses Intuit QuickBooks for bookkeeping, accounting, invoicing, payment reconciliation, sales-tax records, expense tracking, financial reporting, and other business-record purposes.

  • Information entered into or synchronized with QuickBooks may include customer names, contact information, invoice details, payments, refunds, transaction dates, services purchased, parts and materials, applicable taxes, and related financial records.

  • When Jobber and QuickBooks are connected, certain customer, invoice, payment, and transaction information may be transferred or synchronized between the platforms according to the enabled integration settings.

4.4 Google Workspace, Gmail, and Google Drive

  • ValHalla Computers uses Google Workspace services, including Gmail and Google Drive, for business email, customer communications, document creation, file storage, photographs, attachments, service records, receipts, policies, and other business materials.

  • Information communicated or stored through these services may include names, email addresses, telephone numbers, messages, photographs, quotes, invoices, service documents, computer information, and other attachments provided during the customer relationship.

  • Customers should avoid sending unnecessary passwords, complete payment-card numbers, banking credentials, Social Security numbers, or other highly sensitive information through ordinary email or shared files.

4.5 Payment Processors and Financial Institutions

  • ValHalla Computers may use Jobber Payments, QuickBooks Payments, or another authorized payment processor to accept deposits, invoice payments, refunds, or other customer transactions.

  • Payment processors and financial institutions may collect information such as the customer’s name, billing information, payment method, card or bank details, transaction amount, payment status, fraud-prevention information, and device or technical information.

  • Complete payment-card numbers and online-banking credentials should be entered directly into the secure payment interface provided by the applicable processor. ValHalla Computers does not intend to independently store complete card numbers or online-banking passwords in ordinary customer records.

  • Payment processing is subject to the terms and privacy practices of the processor, card network, bank, or other financial provider involved in the transaction.

4.6 Telephone, Text, and Communications Providers

  • ValHalla Computers may use telephone carriers, text-messaging services, Jobber communications tools, email providers, and other communications platforms to respond to inquiries and send service-related messages.

  • These providers may process customer names, telephone numbers, email addresses, message contents, delivery information, attachments, and communications records as necessary to transmit and manage those communications.

  • Service-related text messages may include appointment confirmations, arrival updates, requests for approval, service-status information, quote or invoice notices, and responses to customer questions.

  • ValHalla Computers will not sell customer telephone numbers or provide text-message consent information to unrelated third parties for their own marketing purposes.

4.7 Platform Integrations

  • ValHalla Computers may connect approved business platforms so that information can be transferred or synchronized between them. For example, customer, invoice, payment, and service information may be transferred between Jobber and QuickBooks to reduce duplicate data entry and maintain consistent business records.

  • The information transferred will depend on the integration, the settings selected by ValHalla Computers, and the services used for the applicable customer transaction.

  • ValHalla Computers will make reasonable efforts to limit integrations and access permissions to those needed for legitimate business operations.

4.8 Changes to Service Providers

  • ValHalla Computers may add, replace, discontinue, or change third-party service providers as the business and its operational needs develop.

  • If a change materially affects how personal information is collected, used, or disclosed, this Privacy Policy will be updated and provided with a revised effective date.

4.9 Third-Party Privacy Practices

  • ValHalla Computers selects third-party providers for legitimate business purposes but does not control every independent action, system, policy, or security practice of those providers.

  • Customers may review the privacy policies and terms published by Wix, Jobber, Intuit, Google, payment processors, and other applicable providers for additional information about their respective practices and available privacy controls.

  • Nothing in this section removes ValHalla Computers’ responsibility to accurately describe its own handling of customer information or to take reasonable measures when selecting and using business service providers.

5. Cookies and Website Analytics

  • ValHalla Computers and the third-party platforms supporting valhallacomputers.com may use cookies, pixels, local storage, and similar technologies to operate the website, remember visitor preferences, maintain security, understand general website activity, and improve website performance.

5.1 What Cookies Are

  • Cookies are small data files stored on a visitor’s browser or device when the visitor accesses a website. Cookies may allow a website to remember information about a visit, maintain necessary website functions, recognize preferences, and collect limited technical or usage information.

5.2 Essential Cookies

6.1 Service Inquiries That Do Not Become Appointments

  • Service inquiries that do not result in a confirmed appointment or completed transaction may generally be retained for up to two years after the most recent communication.

  • ValHalla Computers may delete these records sooner when they are no longer reasonably needed for follow-up, customer service, security, or business documentation.

6.2 Customer and Service Records

  • Customer contact information, approved quotes, work authorizations, appointment records, service notes, equipment details, customer approvals, completed-work documentation, and related communications may generally be retained for up to seven years after the customer’s most recent completed transaction.

  • These records may be retained to answer customer questions, document authorized work, evaluate workmanship concerns, maintain service history, support accounting records, and establish or defend legal claims.

6.3 Financial and Tax Records

  • Invoices, receipts, payment records, refunds, parts purchases, sales-tax information, bookkeeping entries, and related financial documents may generally be retained for at least seven years, or longer when reasonably necessary to satisfy tax, accounting, insurance, audit, legal, or financial obligations.

  • The applicable retention period may depend on the type of record and the circumstances surrounding the transaction.

6.4 Service Photographs and Equipment Documentation

  • Photographs collected for equipment-condition and service documentation may generally be retained for up to three years after completion of the applicable service.

  • Photographs may be retained longer when reasonably necessary to address an active warranty or workmanship concern, payment dispute, insurance matter, safety issue, legal claim, or other documented business need.

  • Photographs approved separately for marketing may be retained and used according to the permission provided by the customer. A customer may withdraw permission for future promotional use by contacting ValHalla Computers, subject to the limitations explained in this Privacy Policy.

6.5 Communications

  • Emails, text messages, form submissions, attachments, Jobber communications, and other correspondence connected to a completed service or financial transaction may be retained with the applicable customer or transaction record.

  • General communications that do not result in a service relationship may be deleted when they are no longer reasonably necessary for customer support, follow-up, security, or business documentation.

6.6 Passwords and Temporary Access Information

  • ValHalla Computers does not intend to retain customer passwords or temporary login credentials after they are no longer necessary for the approved service.

  • Temporary credentials recorded for service purposes should be securely deleted or returned to the customer as soon as reasonably practical after the service is completed and tested.

  • Customers should change any password or access code shared with ValHalla Computers after service is complete.

6.7 Website, Cookie, and Analytics Information

  • Website, cookie-consent, technical, and analytics information may be retained according to ValHalla Computers’ selected Wix settings, the purposes described in this Privacy Policy, and the applicable platform’s technical and legal requirements.

  • ValHalla Computers may shorten or adjust available retention settings when information is no longer reasonably needed for website operation, analytics, security, or compliance.

6.8 Legal Holds and Other Retention Requirements

  • ValHalla Computers may retain information beyond the ordinary periods described above when reasonably necessary to comply with applicable law, respond to a valid legal request, complete an audit, collect an unpaid balance, investigate fraud or a security incident, resolve a complaint, address an insurance matter, or establish, exercise, or defend a legal claim.

  • Information subject to such a requirement may be retained until the relevant matter has been resolved and any applicable retention period has expired.

6.9 Customer Deletion Requests

  • Customers may ask ValHalla Computers to delete personal information by using the contact information provided at the end of this Privacy Policy.

  • Before processing a request, ValHalla Computers may take reasonable steps to verify the requester’s identity and authority over the information.

  • A deletion request may be denied or limited when retaining the information is reasonably necessary to complete an active service, process or document a transaction, maintain tax or accounting records, collect an authorized unpaid balance, prevent fraud, protect legal rights, comply with applicable law, or fulfill another legitimate obligation.

  • When only part of a customer’s information must be retained, ValHalla Computers may delete or restrict other information that is no longer reasonably necessary.

6.10 Third-Party Systems and Backup Copies

  • Deleting information from one ValHalla Computers system may not immediately remove every copy from connected platforms, archived communications, automated backups, transaction records, or third-party systems.

  • ValHalla Computers will make reasonable efforts to process an approved deletion request across the business platforms under our control. Residual copies may remain temporarily in protected backups or system archives until they are overwritten or deleted according to the applicable provider’s normal retention process.

  • Third-party providers may also retain information when independently required by law, fraud-prevention obligations, financial regulations, contractual requirements, or their applicable privacy policies.

6.11 Secure Disposal

  • When personal information is no longer reasonably needed and is not subject to a retention requirement, ValHalla Computers will take reasonable steps to delete, destroy, anonymize, or otherwise securely dispose of it according to the nature and sensitivity of the information.

  • Disposal methods may include deleting electronic files, removing records from active business systems, securely erasing storage media, and shredding paper documents containing personal information.

7. Information Security
